How to Delegate as a Small Business Owner (Even If You've Never Done It Before)

Most small business owners are terrible at delegating. Not because they're control freaks - though that's part of it - but because nobody ever taught them how.

Here's a practical guide to delegating as a small business owner, even if you've never done it before.

Why small business owners struggle to delegate

The most common reasons:

"It's faster if I just do it myself" — true the first time. Not the tenth time.

"Nobody will do it as well as I do" — probably true. Good enough is good enough for most tasks.

"I don't know what to hand off" — this is the real one. Most people don't have a clear picture of how they spend their time.

Step 1: Do a task audit

For one week, write down every task you do. Every email. Every calendar entry. Every errand. Every piece of content. At the end of the week, put each task in one of three columns:

  • Only I can do this (strategy, client relationships, your core service)

  • Someone else could do this with training

  • Someone else could do this today

Everything in columns 2 and 3 is delegatable.

Step 2: Start with the tasks you hate most

The easiest tasks to delegate are the ones you dread. Inbox management. Social media scheduling. Data entry. Invoicing. These are also the tasks that drain your energy the most - which means getting them off your plate has an outsized impact on how you show up in the rest of your business.

Step 3: Document before you delegate

Before handing anything off, write a one-page SOP - standard operating procedure. It doesn't have to be fancy. Just answer: what is the task, when does it happen, what does done look like, and what tools does it use. Your VA will refine this over time.

Step 4: Start with 10 hours a week

Most business owners don't need a full-time VA to start. 10 hours a week is enough to take your inbox, your scheduling, and one other task off your plate. Start there. Scale when you're ready.

Step 5: Find the right VA

Delegation only works when you trust the person you're delegating to. That's why vetting matters. Random profiles on job boards aren't enough.
