What to include in your VA project posting template
1. Business name and public link
VAs vet their clients too. Give them a website or social media profile so they can understand your business before applying.
2. Role summary
Describe what you actually need in 3–6 bullet points.
❌ Don't write "I need a VA."
✅ Write "I need someone to manage my Gmail inbox, respond to client inquiries using approved templates, and send weekly summary reports."
3. Core tasks
List every task you want the VA to own. Be specific.
❌ "Social media management" is vague.
✅ "Schedule 5 Instagram posts per week using our content calendar, respond to comments daily, and send a monthly analytics report" is clear.
4. Hours and commitment
Do you need the VA to be available during set hours?
How many hours per week?
Is this ongoing, temporary, or project-based?
VAs need to know if they can fit you into their roster.
5. Budget
Be transparent. VAs price their services based on scope and experience. Hiding your budget wastes everyone's time. If you don't know what to budget, say so, a good VA will propose pricing based on scope.
6. Tools and software
List the platforms your VA will need to use. Google Workspace, HoneyBook, Dubsado, QuickBooks, specific CRMs. A VA with experience in your tools will onboard faster.
7. Communication expectations
Do you need daily check-ins?
Weekly reports?
Slack availability during business hours?
Set these expectations upfront.
